About the Role
The Workplace Experience [WE] team is dedicated to supporting our North America Corporate Offices across Gap Inc. and its iconic house of brands. Our mission is to transform and enable a high-performance workplace that not only meets employee needs and leadership goals but also serves as a catalyst for our culture. Workplace Experience is seeking a Senior Occupancy Planner of Workplace Environments to be based out of our San Francisco, CA headquarters. As the Senior Occupancy Planner of Workplace Environments, you will play a pivotal role in optimizing the organization's corporate office portfolio by seamlessly integrating long-term strategic vision with detailed, data-driven occupancy planning. You will be responsible for developing and implementing comprehensive occupancy strategies that align with business objectives, while also managing day-to-day occupancy and space utilization data to ensure efficiency, employee well-being and overall organizational success. This role requires a strong analytical mindset, excellent communication skills, and the ability to translate high-level business goals into actionable real estate and space solutions.
What You'll Do
- Develop and maintain accurate headcount forecasts and demand plans in partnership with HR and business leaders to anticipate future space needs and inform occupancy decisions.
- Provide space plans, reporting, interpretations of space planning metrics and recommendations to the workplace strategy and real estate team and high-profile stakeholders.
- Create high-level block and stack plans for buildings, effectively allocating space to teams and brands based on strategic adjacencies, growth projections, and functional requirements. Produce complex drawings and presentations for internal stakeholder meetings review and feedback.
- Collaborate with other team members to gain business intelligence including move and relocation sequencing and execution.
- Conduct evaluation and review of work area affected by move planning to ensure that current and destination location(s) are reflected accurately in plans.
- Manage space walks for validation and update of occupancy metrics on regular cadence.
- Maintain and update accurate occupancy data within Computer-Aided Facility Management (CAFM) or Integrated Workplace Management System (IWMS) platforms. Generate and present comprehensive reports and dashboards on occupancy trends. Establish and/or follow the process of requestingeceiving new hire reports from HR, following up with EAs or HRBP to assign workstations or neighborhoods in system of record to maintain accurate occupancy data.
- Partner with internal teams (IT, Design, Construction, Workplace Operations) and business units to plan and execute major internal relocations, restacks, expansions, and ongoing churn, minimizing business disruption.
- Apply and contribute to the evolution of workplace standards, guidelines, and best practices related to space allocation, design, ergonomics, and employee experience, ensuring consistency across the portfolio.
- Facilitate post-occupancy support and reviews to ensure successful plan execution and resolution of post-move issues related to occupancy data accuracy.
- Serve as a primary point of contact for business units regarding day-to-day occupancy requirements. Facilitate discussions, gather requirements, present findings, and gain alignment on proposed solutions.
- Leverage and champion the use of CRE technology solutions (e.g., IWMS, business intelligence tools) to enhance data accuracy, automate processes, and improve the efficiency and effectiveness of both strategic and occupancy planning functions.
Who You Are
- Bachelor's Degree preferred with 2-5 years in corporate real estate strategic planning and occupancy planning roles, relevant experience or relevant industry certifications (e.g., CoreNet Global MCR, IFMA CFM) highly desirable.
- Understanding of existing procedures and standards to solve complex space problems.
- Ability to create multiple possible solutions using technical experience to apply appropriate judgment and precedents.
- In-depth knowledge of Microsoft Office products (Word, Excel, Outlook, etc.) with competency in Excel to compare multiple data sets, summarize results, etc.
- Experience in AutoCAD sufficient to produce and manipulate drawings and maintain standards.
- Experience with creating test fits and product companies is a plus.
- Strong organizational skills and the ability to manage multiple priorities and projects in a dynamic, fast-paced environment.
- Ability to create high-level and easy-to-understand block plans to help inform strategy and communicate ideas.
- A strategic thinker with a detail-oriented approach to execution.
- Working knowledge of IWMS systems (e.g., Archibus, Tririga, Accruent, iOffice), and advanced Microsoft Excel skills (pivot tables, complex formulas).

Salary Range: $93,900 - $122,100 USD
Employee pay will vary based on factors such as qualifications, experience, skill level, competencies and work location. We will meet minimum wage or minimum of the pay range (whichever is higher) based on city, county and state requirements.
