About the role

The Licensing Sample Coordinator will be responsible for managing the total Sample Coordination Process for all categories each season. This role is also responsible for ensuring that the sample closets and showroom are organized and maintained by category, season, territory, etc. This role will coordinate efforts to ensure samples are receipted in the correct timelines, shared with appropriate business parnters, shipped to locations as needed, and then sent to charity when the sample lifecycle has ended.

Position will be based in NY HQ and will be part of the Gap Inc Licensing team, partnering with the Licensing Product Team as well as our licensing agency and licensees.

  • Sample closet and Showroom organization, check ins, check outs, charity process, archive, destroy etc.
  • Liaise with the Product Licensing team, Licensing agency, and Licensees to ensure all samples are accurate, accounted for and tracked for receipt each season. Tag/Label samples each season to ensure accuracy and organization
  • Update Sample Tracking Lists for inbound and outbound samples
  • Manage tiemlines and deadlines for samples being sent, borrowed, received, etc.
  • Coordinate with teams in our SF office for any samples that need to be shared and sent.
  • Support product setups in the showroom each season as products need to be presented to different audiences
  • Support for onsite, offsite, and ad hoc sample coordination and use.

Who you are

  • Experience with a retail company preferred; field work a plus

  • Ability to manage a high-volume of samples on a regular basis
  • Well-developed interpersonal skills and team player
  • Self-starter and quick learner
  • Strong written and organizational skills, attention to detail
  • Proficient in Microsoft Excel
  • Sense of urgency
  • Ability to prioritize and multi-task
